These Terms govern your use of Soopaspace.
1. About Soopaspace
Soopaspace is a software platform that helps self-employed practitioners — coaches, instructors, therapists, and similar — run their booking and customer-management online. Practitioners ("you" or "the coach") subscribe to Soopaspace and use it to take bookings from their own customers ("bookers").
Soopaspace is operated by Black Isle Group Limited, a company registered in Scotland (company number SC809719), with registered office at 5 South Charlotte Street, Edinburgh, Midlothian, EH2 4AN. References to "we", "us", or "our" in these Terms mean Black Isle Group Limited.

2. Who can use Soopaspace
To create a Soopaspace practitioner account, you must:
- Be at least 18 years old
- Be legally able to enter into a binding agreement under the laws of your jurisdiction
- Be resident in the United Kingdom (Soopaspace currently only accepts UK-based practitioners; this restriction is enforced at signup)
- Use Soopaspace in connection with a self-employed or small-business activity you are legally entitled to carry out
Bookers (the customers who book sessions with a practitioner through Soopaspace) interact with the platform via the practitioner's public booking page. By making a booking, the booker agrees to receive transactional emails from us relating to that booking, on behalf of the practitioner.
3. Account responsibilities
- Keep your credentials safe. You're responsible for the security of your account. Don't share your login details. If you think your account has been accessed by someone else, email hello@soopa.ai as soon as possible.
- Give us accurate information. Your name, business name, contact details, services, and pricing should reflect your actual business. Don't impersonate anyone or misrepresent your services.
- Activity under your account is yours. Anything done through your signed-in account is treated as done by you, unless you've reported a breach of account security to us.
4. Acceptable use
You agree not to use Soopaspace to:
- Carry out any illegal activity or any activity that breaches UK law
- Harass, threaten, defame, or discriminate against any other user or any booker
- Send spam, unsolicited marketing, or any communications a recipient hasn't consented to (including via the platform's email features)
- Attempt to access another user's account, data, or any part of the system you haven't been granted access to
- Scrape, reverse-engineer, copy, or attempt to extract Soopaspace's code, design, or non-public functionality
- Interfere with the platform's operation (e.g. attempting to overload, disrupt, or probe for vulnerabilities)
- Misuse the platform's communication features to send marketing to your bookers without their consent
We may suspend or terminate accounts that breach this clause. Where we believe a breach is serious, we may also report it to relevant authorities.
5. Payments and subscription terms
Practitioner subscription
Your subscription to Soopaspace is £4.99 per month for the founding rung, billed monthly in advance via Stripe Checkout. We offer a 14-day free trial. Your payment method is collected at signup, and your first charge is taken at the end of the 14-day trial unless you've cancelled before then.
Your subscription renews automatically each month at the rate you joined at. We will not raise the price of your existing subscription — the rate you start at is the rate you keep, for as long as you remain continuously subscribed. If you cancel and later re-subscribe, you re-join at whatever the current rate is at that time.
Cancellation during the trial
You can cancel your subscription at any time during the 14-day free trial via the Stripe Customer Portal (linked from your Soopaspace account settings). If you cancel during the trial, no charge will be taken, and your access continues until the trial would have ended.
Cancellation after the trial converts
Once your subscription has converted to a paid subscription, you can still cancel at any time via the Stripe Customer Portal. Paid cancellation takes effect at the end of your current billing period — you keep access until then, no further charges are taken, and no further automatic renewal happens.
Customer–coach payments (Stripe Connect)
When Soopaspace's Stripe Connect integration is enabled on your account, your customers can pay you directly through your booking page. These payments are processed by Stripe and settle directly to your own connected Stripe account. Soopaspace takes no commission, no application fee, and no margin on these transactions — payments flow from your customers to you, with Stripe's own processing fees applying to you as the recipient.
You are the merchant of record for these transactions. Soopaspace is not a party to the payment relationship between you and your customer.
Third-party payment processors
Stripe (and any other payment processors we use) are independent service providers, not part of Soopaspace. We are not liable for the acts or omissions of these third parties, including (but not limited to) payment failures, retries, delays, refunds processed through Stripe directly, or disputes that arise between you and Stripe.
Failed payments
If a renewal payment fails, Stripe will attempt to retry per its standard schedule. If the payment remains unsuccessful after Stripe's retry period, we may suspend or terminate your subscription.
VAT
Soopaspace is operated by a non-VAT-registered business, so no VAT is charged on the £4.99 monthly subscription. If our VAT status changes in future, we will give notice before applying VAT to your subscription.
Service availability
Soopaspace currently only operates in the United Kingdom. Accounts opened from outside the UK may be terminated for breach of these Terms.
6. Cancellation and refunds
Subscription cancellation
See Section 5 above for cancellation mechanics (during trial: no charge taken, access until the trial would have ended; after trial converts: end of current billing period).
Refunds
We do not offer refunds for partial or unused portions of a billing period. The 14-day free trial is provided so that you can fully evaluate Soopaspace before being charged. Once a paid subscription has been billed, the standard outcome is that you retain access until the end of the period you've paid for, with no further charges.
If you cancel during the trial, no charge is ever taken, so no refund is needed.
Nothing in this section limits any statutory rights you may have under UK consumer law, including the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. If you believe you are entitled to a refund under those statutory rights, contact us at hello@soopa.ai.
Coach-to-customer booking refunds
Refunds for bookings made by your own customers (where Stripe Connect is enabled and customer payments flow directly to you) are governed by your own cancellation and refund policy, displayed on your booking page. Soopaspace is not a party to those transactions and does not process refunds between you and your customers — those happen between you and the customer, via Stripe.
7. Your content
Your content stays yours
You keep ownership of everything you upload to Soopaspace — your business name, bio, photos, service descriptions, pricing, customer records, and booking notes ("Your Content"). We don't claim ownership of it.
The licence you give us to run the platform
To operate the service for you, you grant Soopaspace a non-exclusive, royalty-free licence to host, store, copy, transmit, display, and back up Your Content, solely for the purpose of operating and providing the service to you and your customers. This licence lasts only as long as your content is on the platform.
Aggregated data
We may use aggregated and anonymised data — combined across many businesses and stripped of anything that identifies you, your business, or your customers — to operate, improve, and develop our services. Because this data does not identify any individual, it is not personal data. We never sell or share data that identifies you or your customers.
Customer-provided content
When your customers book with you, the information they provide flows to you, and you act as the data controller for it. How you handle your customers' personal data is your responsibility. Our role as your data processor is described in our Privacy Policy.
You're responsible for what you publish
You are responsible for Your Content — including its accuracy, legality, and that you have the right to publish it. You must not upload content that is unlawful, infringes someone else's rights, is misleading, or breaches the Acceptable Use terms in Section 4. Soopaspace hosts and displays the content you publish; we don't review, verify, or endorse it, and we're not responsible for it.
8. Our liability
What Soopaspace is — and isn't
Soopaspace is a software platform that helps you take bookings and run your business. We are not a party to the arrangement between you and your customers. When a customer books a session with you, the agreement to provide that session — and responsibility for the quality, safety, and delivery of it — is entirely between you and your customer. We're not responsible for the services you provide, any disputes between you and your customers, or any payments that pass directly between you and your customers.
What we're responsible for
We'll provide the service with reasonable care and skill, as UK law requires. We work hard to keep Soopaspace available and reliable, but we don't guarantee it will be uninterrupted, error-free, or always available.
Limits on our liability
To the fullest extent permitted by law:
- We are not liable for any indirect or consequential loss, or for loss of profits, loss of business, loss of bookings, loss of revenue, loss of goodwill, or loss of data, arising from your use of (or inability to use) Soopaspace.
- Our total liability to you for any claim arising out of or in connection with these Terms, however it arises, will not exceed the total subscription fees you have paid to us in the 12 months immediately before the event giving rise to the claim.
What we can't and don't limit
Nothing in these Terms limits or excludes our liability for: death or personal injury caused by our negligence; fraud or fraudulent misrepresentation; or any other liability that cannot legally be limited or excluded under the laws of England and Wales. Nothing in these Terms affects your statutory rights as a consumer where they apply.
9. Termination
Your access to Soopaspace ends when your subscription ends — at the end of your current paid period if you cancel a paid subscription, at the end of your trial period if you cancel during your 14-day trial, or as soon as a payment fails and isn't immediately recovered, if your payment method stops working. At that point, your dashboard is locked, your public booking page becomes unavailable, and no new bookings can be made through Soopaspace.
Your existing customer bookings remain accessible to your customers. Customers who already had bookings with you can still view, reschedule, or cancel those bookings using the self-service link in their booking confirmation email, regardless of your subscription state.
Reactivating restores everything. If you resubscribe at any point, your dashboard, customer records, and saved settings come back exactly as you left them. You'll need to re-publish your booking page if you want it visible again.
If you don't reactivate, your account is retained for a period after closure (see our Privacy Policy for retention details) before being deleted. We may also terminate your account if you breach these Terms — for example, persistent breach of the Acceptable Use clause in Section 4.
10. Governing law
These Terms are governed by the laws of England and Wales. Any dispute arising under or in connection with them shall be subject to the exclusive jurisdiction of the courts of England and Wales, save that nothing in this section restricts a consumer's right under UK law to bring proceedings in the jurisdiction of their habitual residence.
11. Changes to these terms
We may update these Terms from time to time. If we make material changes, we'll notify practitioners by email and update the "Last updated" date at the top of this page. Your continued use of Soopaspace after such notification means you accept the revised Terms. If you don't accept them, you can cancel your subscription at any time (see Section 6).
