Remember every client, without a notebook or a spreadsheet

When you work for yourself, knowing your clients is half the job: the cut they had last time, the dog that hates the dryer, the learner whose test is next month. Soopaspace gives every client their own page that fills itself in as they book, with your private notes beside it, so you walk into every appointment already knowing who they are.

1Every client

One page for every client, built from their bookings

The first time someone books, they get their own client page. Every visit lands on it in date order with what it cost, alongside their total spend, their next booking and a timeline of the emails and payments that have gone between you. Log a phone call or a chat yourself and it sits on the same timeline.

  • Every visit in date order, with what it cost
  • Last visit, next visit and lifetime spend at the top
  • A dated timeline of bookings, payments and emails
  • Calls, meetings and notes you log yourself, on the same timeline

2Private notes

Notes that only you see, kept across every visit

Each client carries private notes that are never shown to them. A colour formula, a patch test date, how a nervous dog likes to be handled, what you covered in the last lesson. The notes live on the client rather than the booking, so they are waiting for you every time that person comes back.

  • Private to you, never visible to the client
  • Kept on the client, not lost with one booking
  • Write as much or as little as you like
  • There on your phone between appointments

3What they told you

The answers from booking, kept on their page

Add your own questions to a service and clients answer them when they book: the dog’s name, an allergy, the size of the job, what they would like to work on. The latest answer to each question is saved on their client page. You also choose which details you ask every new client for, such as a phone number, an address or a date of birth, and which of them are required.

  • Your own questions on each service, answered at booking
  • The latest answer to each question on their page
  • Choose which details to ask for, and which are required
  • Up to six details of your own, named the way you want

4Groups

Your regulars, your new clients and who has gone quiet

Soopaspace sorts your list into groups from how people actually book: new clients, regulars, people slipping away, the ones you have not seen for a long time, and leads who asked but never booked. Pick a group to see who is in it. Each client’s page also records whether they agreed to hear from you, and how and when that changed.

  • Groups built from real bookings, not tags you keep up
  • Search by name, email or phone
  • Each client marked as a lead, prospect, client or lost
  • Whether they agreed to marketing, and when that changed

5Moving in

Bring the list you already have

Import your existing clients from a CSV, an Excel spreadsheet or a table in a Word document, including exports from other booking tools. Before anything is added you see who is new, who is already in your list and anyone who might be the same person, so nobody ends up in there twice. Your list is yours, and it downloads as a CSV whenever you want it.

  • Import from CSV, Excel or a table in a Word document
  • Names, emails, phones, postcodes and notes brought across
  • New, already here and possible duplicates shown first
  • Download your whole client list as a CSV

What it could mean for you

What it changes for you

No scrolling back through messages

The details you need are on the client’s page, not buried in a text thread from last spring or a notebook in the van.

Every client feels remembered

You walk in knowing what they had last time and what they told you, without having to ask them again.

A list that keeps itself

Every booking adds to the record on its own, so there is no spreadsheet of names and dates to keep up to date.

Their details treated with care

Notes are private to you, each client’s marketing choice is recorded, and the list is yours to download whenever you want it.

Common questions

What is a CRM, and do I need a separate one?
A CRM is simply a record of your clients and your history with each of them. In Soopaspace it is not a separate tool to fill in: every client’s page builds itself from their bookings, and you add private notes as you go.
Can my clients see my notes about them?
No. Your notes are private to your account. They are never shown to the client, on your booking page or in any email.
Can I import the clients I already have?
Yes. Upload a CSV, an Excel spreadsheet or a table in a Word document, including exports from other booking tools. You see who is new, who is already there and any possible duplicates before anything is added.
Can I get my client list out again?
Yes. Your whole client list downloads as a CSV from the Clients page whenever you want it.
Is this on the free plan?
Your client list, each client’s page and your private notes come with the free plan for taking bookings. The groups, the view of who has gone quiet and the AI assistant are part of the paid plan.
